Q: What criteria can be used to do a provider search?  Back to top

A: The criteria that is currently available to a provider search are: service category, service type, county, available vacancy, age of child, gender of child, the provider's name, the provider's ID number, and characteristics of a child that the provider will accept.

Q: If a child is in a placement and the worker wants to add a supplemental and/or exceptional amount and want to start it effective the previous month how do they do it?  Back to top

A: For the time period before the current month they will have to enter a one-time payment to satisfy those new increases. The worker will then need to complete a new Foster Care Rate Setting for the placement to change the supplemental and exceptional amounts, which in turn will automatically increase the check for the current month and all subsequent months. The Foster Care Rate Setting must be approved by both the worker and the supervisor before the rate changes will occur.

A: No. If the child is moved to a new foster home and the new foster parents qualify for supplemental and/or exceptional payment it will have to be entered anew.

Q: How long do approvals remain visible on the desktop?   Back to top

A: Approvals will remain visible on your Desktop (Approvals Expando > 'Approvals in Progress' folder) for 4 days after the piece of work receives final supervisory approval.

Q: Why isn’t the main display window (the outliner) wider?  Back to top

A: The screen size on the outliner was set to accommodate users who have large font options, or who have their screen Desktop area settings at 640 X 480 pixels. With these settings the outliner takes up a full screen of the users Desktop Area.

Q: Do you need to refresh each tab that you want to view or will view refresh reset all possible views?   Back to top

A: View refresh will only reset the tab that you are currently working on.

Q: Why would the same case (and case number) show up on a desktop more than one time?  Back to top

A: If you see the exact case duplicated on your outliner that means that you have two or more open assignments to that case. Since you only need to carry one assignment to the case you can have your supervisor close all but one of your assignments to the case.

Q: What are batch runs and when do they run?  Back to top

A: Nightly batch processing is used to do larger, more complex tasks such as case closure, merging people, and generating financial information. A "batch run cycle" is a group of programs and reports that are executed at scheduled times.  There are nightly, weekly, monthly and quarterly batch runs for eWiSACWIS. The Knowledge Web contains detailed information on batch jobs including descriptions of what tasks and reports are produced from each batch run cycle, when reports are produced and a calendar showing batch run cycle dates.

Q: There is a sibling check-box on the CPS Placement Request Window; what does it do?  Back to top

A: This is a check-box at the child level. Functionally it does nothing more than inform the system that there are two or more kids being placed.

Q: How can a supervisor, who is approving a payment to a provider, check to ensure the Provider’s Address is correct?   Back to top

A: All demographic provider information is available to the worker or supervisor if they search out the provider and double click on that provider revealing all critical information.

Q: If you have a secondary assignment to a provider will this stop you from doing certain types of work?  Back to top

A: No, you may do the same type of work within a provider with a secondary assignment as a person who holds a primary assignment.

Q: If the foster parent of a 14 year old child is currently receiving the $2000 maximum payment, how will the system deal with the increase in the basic rate that is due when the child turns 15?  Back to top

A: eWiSACWIS will automatically adjust when the child turns 15 by increasing the basic rate and reducing the exceptional rate keeping the total at $2000.

Q: What SDM components will be in eWiSACWIS?  Back to top

A: The Family Strengths & Needs Assessment and Reassessment, and the Family Risk Assessment of Future Abuse and Neglect will be in eWiSACWIS. There are discussions currently ongoing surrounding the addition of the Decision Tree used at the intake level. Also, there will be a special narrative format for the initial assessment.

Q: How will NCCD fit into the eWiSACWIS model?   Back to top

A: eWiSACWIS has one model. It is called the Wisconsin model. The Wisconsin model has one way of recording intakes, there are two options for recording parts of the initial assessment, and there will be one way to record an ongoing case plan and evaluating the progress on that plan. In the initial assessment, eWiSACWIS has added several pieces to handle the NCCD/SDM models.

Q: What happens if a case is closed in error?  Back to top

A: If you accidentally close a case in error you should reopen the case with a services intake. You will select the Type of services intake as "reopen/case closed in error."

Q: When I go back into my case, on the second day, to approve my case closure the approve button is not enabled, why?  Back to top

A: If the case has been opened and closed more than once you will see two or more closing history strips. On day two when you enter the case to do the final approval you must make certain that you are maintaining the strip that does not have a closed date. Often times, users maintain an old closed history strip.

A: This happens when the site/region on the case is different from the site/region of your worker profile. For example, Let's say you work in the Northeaster Region and the case you are attempting to retain is in the Southern Region. In that instance, you will receive the above reference message. To resolve the issue you must change the site/region of the case to match the Site/Region indicated on your worker profile.

Q: My case closure request has been denied and the reason is open eligibility. What do I need to do to fix the problem?  Back to top

A: You need to contact the individual within your department or agency that handles your eligibility determination and request the ending of the open eligibility record.

Q: My name is misspelled in eWiSACWIS. How do I change it?  Back to top

A: Your supervisor is able to change your name on your Person Management window. Supervisors can access a your Person Management window by following these steps (also see the pictures below): 

  • click on the Arrow ( eWiSACWIS Expando Arrow) next to the Workers expando
  • click on the worker icon (eWiSACWIS Worker icon) next the Supervisor's name
  • click on the Actions link to the right of the Worker's name
  • on the Actions window, select Person Management 
  • click the Continue button

Q: A worker is no longer employed with the department or agency and I want to delete him/her. How should I do it?  Back to top

A: Supervisors cannot delete workers from eWiSACWIS, they can only be inactivated. When a worker is inactive they do not visually appear under any supervisor; However, they are available to be reactivated should they return to work in CPS for that county or any other county in Wisconsin.

Q: I am creating an Initial Assessment Primary Caregiver, when I click the Child and Parental Role button, not all the case participants are listed, why?  Back to top

A: The only case participants listed when you click the Child or Parental Role button are those with a Status of Active on the Maintain Case window.

Q: When I try to open a case the system sends a message that I do not have security access. What does it mean?  Back to top

A: It means that the case is restricted. A case becomes restricted when a social worker is identified (and added) as a case participant. Only workers who have an open assignment to the case will be able to access the case

Q: When I select an item under TEXT in the Options dropdown and click the Go button eWiSACWIS returns a message that reads: "Informational Message: This document was either not created or no longer available in eWiSACWIS." What does this message mean?  Back to top

A: You will receive the above message if you attempt to launch a text document and that text template had never been launched prior to the piece of work being approved.

Q: After launching a text template, I noticed that some fields were blank on the document and would not allow me to enter text. What should I do document the correct information on the template?  Back to top

A: Templates can contain three different types of fields (system pre-filled not-editable, system pre-filled editable, and user entered).

  • You can only correct and save field information if the field on the template is user editable.
  • System pre-filled not-editable fields cannot be updated on the template. To update such fields you should go to their source.
  • System pre-filled editable fields can be updated on the template for printing purposes, but will never save unless you update the source.

     

Note: The best way to find out which fields are user editable and which are not and where the fields' information is pre-filling from is to check the mapping of the template.
